Policies and Procedures

The following policies and procedures are effective April 1, 2008 and supersede all prior policies and procedures.

DEFINITIONS:

Events are single day activities scheduled for many people to get together to play the same course.  These can be serious or fun, stroke or individual.  EX: Spring Swing, Altitude Adjustment, Fall Finale, etc.

League is a series of play dates where players sign up for a specific monthly series.  EX: May is on Thursdays @ Old Course in Loveland; June is on Fridays @ Marianna Butte, etc.

The Educational Series provides golf education or player development opportunities for our EWGA members.  These sessions are held randomly throughout the golf season.  EX: “How Low Can You Go?”, “Breaking 100”, “At Ease on the Tees”, “Golf Rules”, etc.

Social Functions are those gathering where we celebrate the beginning and end of the season or a function to network with other EWGA members to learn more about EWGA, such as our New Member Orientation.

 

REGISTRATION:

·      Participation in an EWGA event, league, educational series, or social function requires pre-registration using the appropriate form and payment process.

·      This information must be received by the posted deadline.

·      Registration procedures are typically e-mailed to members or posted on the www.ewganco.com website.

·      Last minute registrations must be approved by the coordinator due to possible issues at the venue.

 

REFUNDS:

Events, Educational Series, Social Functions:

·      Registrant must contact the coordinator 7 (seven) days in advance of the function date to receive a refund. 

·      The Chapter will return the check payment to registrant or dispose of credit card information. 

·      Some fees may be transferable to other events-check with the coordinator. 

·      Refunds will always be net of any administrative costs.

League:

·      No refunds will be given for League.

·      If the golfer cannot play, it will be the responsibility of the golfer to find a substitute and collect the green fees from them if they want re-imbursement.

·      The League Chairperson will have a list of possible substitutes or the golfer can find her own substitute.

 

GUEST/NON-MEMBER PARTICIPATION:

Events:

·      Guest/non-members are welcome to participate.

·      There will be a $20 cost differential for all guests/non-members.

·      Should the guest/non-member become an EWGA member in the same calendar year, a one time $20 credit will be applied against the initial membership fee.

Educational Series:   these are for members only.

At Ease on the Tees:

·      These sessions are open to both members and non-members and will have a $10 cost differential for non-members.

·      Should the non-member become an EWGA member in the same calendar year, a one-time $10 credit will be applied against the initial membership fee.

Social Functions:

·      Guests and non-members are welcome to attend our social functions.

League:

·      Regular League play is for members only.

·      Substitutes may be non-members.

 

SELL-OUTS:

·      Completed and paid registrations are accepted on a first-come, first-serve basis.

·      Every effort will be made to add additional tee times for events to accommodate all registrants.  Based on the course and timing, it may not be possible to do so.

 

CANCELLATIONS (Due to unsafe weather conditions) & RAIN CHECKS:

·         After play has commenced, cash refunds will be given only if the golf course agrees to refund the chapter.

·         Rain checks may be issued by the course to be used at a later date by the golfer, independent of an EWGA NCO event.  This is an individual golf course policy.

 

ANNUAL RELEASE AND INDEMNIFICATION AGREEMENTS:

·      Anyone participating in an EWGA League or Golf Event will be required to sign a Release and Indemnification Agreement.

·      This form must be signed each calendar year and will be maintained by the Vice President.

·      Blanks will be available at each monthly League location and at each Golf Event. This form can also be found in the annual Handbook.
